AI VOICE AND CHAT AGENTS

AI voice and chat agents for customer triage and booking

A customer asks at 21:40. The agent answers.

A visitor lands on your site with one question — a price, an availability, whether you work on Saturdays. There is nobody to ask, so they leave. The phone rings while you are in a treatment room, on the other line, or mid-lesson; it rings out, and the caller dials the next name on the list. The email arrives Friday evening and gets its answer on Monday, politely, from you, to someone who has moved on.

We build agents that answer. A chat agent on your website and a voice agent on your phone line, speaking from your approved facts: your services, your prices, your hours, your booking rules. The agent answers questions, qualifies the lead, books the consultation into your calendar, and hands the conversation to you with a full transcript. Fixed scope, fixed price, quoted without a call — and handed over with training, so the agent and everything it knows stay yours.

  • No calls — A human replies within one business hour.
  • Your facts — The agent answers only from what you approve.
  • Yours to keep — Handed over with training.
  • Never alone. Hand work back to us anytime, in credits.
CHAPTER 01 - THE MISSED MOMENT

Answers inside your customer's attention window

When someone decides to ask — after reading your page, after finding your number — they are ready. Not tomorrow, not after an email exchange: now. That willingness stays open for minutes, and it does not come with a label saying so. The same question answered immediately and answered the next morning are two different enquiries. The agent exists so the first one is the one you get.

Evenings, weekends, the busy hour when every line is ringing: the agent is the first voice your customer meets, and it does not put them off until someone is free. Your people stop answering the same questions, again and again, and start having the conversations that need a human. You read the transcripts at breakfast and call back the ones worth calling.

CHAPTER 02 - WHAT THE AGENT DOES

Voice on the phone, chat on your website

One build, two channels, shaped to where your customers actually are:

Chat on your website. A conversation your visitors can start with one click: answers, qualification, booking. It sits quietly on the pages you already have.
Voice on your phone line. Built on Vapi voice pipelines: the agent picks up inbound calls, speaks in a natural conversational voice, answers from your facts, takes messages, and routes urgent calls to a human.
Lead capture and qualification. The agent asks your questions, in your order, and qualifies against criteria you set. You receive the lead with the answers, not just a name and a number.
Booking. Consultations are booked straight into your calendar, through the scheduling tool you already use.
Handover with the transcript. When a conversation needs a human, the agent ends its part politely and delivers everything that was said — to your email or CRM, with the contact details attached.

Where the conversation goes next is wired into your tools: the enquiry lands in your inbox or CRM, the booking in your calendar, the transcript attached. For the wiring behind the scenes — CRM sync, follow-up sequences, documents — see the n8n backend automations service. This page is the voice your customers hear; that one is the work that follows it.

CHAPTER 03 - GROUNDED ANSWERS

The agent answers from your facts — and only your facts

A customer-facing agent that invents answers is worse than no agent. Ours are built on your verified materials: your service list, your prices, your policies, your FAQ — the answers you would give yourself. The knowledge base is assembled with you during discovery, and nothing goes live that you have not approved.

When a question falls outside that base, the agent says it does not know — politely, without guessing — and takes a message or hands the conversation to your team. It does not invent prices and it does not make promises you have not written down, because it answers only from what you approved.

After handover, the knowledge base is yours. Prices change, hours change, a new service appears: you update the answer, in plain writing, and the agent says the new thing from that moment on. No ticket, no invoice.

CHAPTER 04 - TRIAGE, NOT REPLACEMENT

A first point of contact, not a replacement for your people

The agent does not replace human customer service, and we will not pretend it does. It is an instant first layer: it answers the routine, filters the noise, books what is bookable, and escalates the rest — with a transcript, so the human starts the conversation already informed. What it handles on its own and what it hands over is decided with you during setup and written into the scope, not left to chance.

CHAPTER 05 - THE HANDOVER

What you receive at handover

The handover is the point of the exercise — an agent you run, not an agent you rent:

  • The agents, running and tested against realistic examples of your customers' questions.
  • The knowledge base, in writing. Every answer the agent gives, sourced in your materials.
  • The escalation rules. What the agent answers, what it books, what it hands to a human, and where the transcript lands.
  • Connections made with your accounts — telephony, AI models, calendar, email or CRM. The credentials live with you, and you keep ownership of every account.
  • Documentation in plain language, and a live walkthrough for you and whoever will work with the agent.

After handover, the support boundary, stated literally: updating the knowledge base and the agent's answers is a content change — yours, free, unlimited. Larger work — new channels, new integrations, changes to how the agent routes conversations — and repairs of damage you cause yourself are bought as change credits or quoted as a project. Credit packs cost less as a short subscription than bought one-off, and unused credits expire after two months. If something breaks because of our work, the repair is free and costs no credits.

CHAPTER 06 - INCLUDED AND EXCLUDED

What is included and what is explicitly excluded

Whatever the scope turns out to be, the commercial shape of the work is always the same.

What is included

  • Fixed scope, fixed price and a written quote, without a call.
  • The agent build — chat, voice, or both — configured to your channels, your facts and your booking rules.
  • The knowledge base assembled from your materials and approved by you, answer by answer.
  • Testing against realistic examples of your customers' questions before anything faces a customer.
  • The full handover: agents, knowledge base, escalation rules, documentation and a live walkthrough.

What is explicitly excluded

  • The accounts and running costs of the providers the agent uses — telephony, AI models, your calendar and CRM tools. The accounts are set up in your name and you pay those providers directly, at their published rates. We are not a reseller.
  • A phone number, if you need a new one for the agent, is registered to you and stays yours.
  • Human customer service. The agent triages and hands over; the conversation that closes the deal stays human.
  • Outcome promises. We do not promise that the agent will increase bookings, leads or revenue. We build it to answer, capture and hand over — what happens next depends on your business and your people.
  • A new website. If you need the site as well, that is a separate service: the fixed-scope website packages. The agent does not require one of our sites — it can be added to the site you already have.
THE LONG GAME

Flying solo does not mean flying alone.

You can do it yourself - or hand it to us. Both stay open, permanently.

When a change is bigger than a prompt, or the hour is better spent on your own work, hand it to us by email or chat, the same way you reached us during the build. The work is bought as change credits: you receive an estimate in credits before anything starts, and you accept or decline it. Failures caused by DevPowers are repaired free of charge and consume no credits.

Every change is estimated in credits, and you accept or decline the estimate before work starts. Credit pack prices are being set with the first clients and published once they are measured, not guessed.

CHAPTER 07 - THE PROCESS

From one email to a working agent

Everything important stays in writing.

  1. 1

    You write.

Describe the agent in your own words; one email is enough. We send one structured set of questions you answer in a single sitting. We acknowledge your email instantly and a human replies within one business hour.

  2. 2

    Scope and pay.

The offer arrives as soon as discovery is complete, with a way to pay attached: deliverables, explicit exclusions, timeline and payment stages, at a fixed price. Work starts when the deposit is paid.

  3. 3

    Built and tested.

The knowledge base is assembled from your materials and approved by you, answer by answer. The agent is configured, connected to your channels and calendar, and tested against realistic examples of your customers' questions.

  4. 4

    Handover.

You receive the agents, the knowledge base, the escalation rules and a walkthrough in plain language. You own everything we built.

Payment has three stages: deposit before work, payment on first-draft acceptance, and final payment on handover.

The full written process — our written discovery model, staged payments and the support boundary — is on the how we work page.

DevPowers is part of Edukey Sp. z o.o., operating since 2010, based in Porto with a presence in Poland, working internationally in English. You can read our engineering background on the about page.

CHAPTER 08 - USEFUL ANSWERS

Voice and chat agent FAQ: Setup, languages, escalation, and costs

What can the agent actually do for my business?+

It answers your customers' questions in real time, qualifies leads against criteria you set, runs a structured discovery conversation before handing someone over, and books consultations straight into your calendar — on your website as chat, on your phone line as voice, or both. Everything it says comes from your approved facts.

How do you stop it from inventing answers or making promises?+

The agent answers only from a knowledge base assembled out of your verified materials — services, prices, policies, your own FAQ — and approved by you, answer by answer. A question outside that base gets an honest "I do not know" and a handover to your team, not an improvised guess. If a price is not in your approved facts, the agent has nothing to say about it except that it does not know.

Does an AI agent replace my human customer service?+

No. It is a triage layer: it answers the routine questions, filters the noise, books what is bookable, and escalates conversations that need a person — with the transcript attached. What it handles and what it hands over is decided with you during setup and written into the scope.

Can it really answer my phone?+

Yes. The voice agent is built on Vapi voice pipelines: it picks up inbound calls, speaks in a natural conversational voice, answers from your facts, takes messages, and routes urgent calls to a human.

What does it cost to run?+

Keep two cost groups apart. Our one-time price for building the agent is in your written offer. The running costs are the provider accounts — telephony, AI models, your calendar and CRM tools — which are set up in your name and paid to those providers directly, at their published rates. We are not a reseller. The exact providers are decided in discovery and named in your scope.

What happens when the agent cannot answer?+

It says so, politely, and offers to take a message or hand the conversation over. The transcript and the contact details are delivered to your email or CRM, so nothing said is lost. You set the escalation rules during setup.

Can I change what it knows afterwards?+

Yes. Updating the knowledge base and the agent's answers is a content change: yours, free, unlimited, in plain writing. Larger work — new channels, new integrations, changes to how the agent routes conversations — is bought as change credits or quoted as a project. Credit packs cost less as a short subscription than bought one-off, and unused credits expire after two months. If something breaks because of our work, the repair is free and costs no credits. The full boundary is on the how we work page.

Which languages does it speak?+

The agent is configured for the languages your customers use — one or several. The choice is made in discovery and written into the scope.

How long does setup take?+

The timeline is part of your written scope: it depends on the channels, the integrations and how much assembling your knowledge base needs. The number is fixed before you commit.

Do I need a website from you to get an agent?+

No. The agent is a standalone project — it can be added to the site you already have, or to your phone line alone. If you need the website too, that is the fixed-scope website packages service, and everything can go through one written discovery.

Am I left without help after handover?+

No. Doing it yourself is the default after handover - it is not a duty. Any change you would rather not make yourself, from a small edit to a new feature, you can hand to DevPowers by email or chat: the option stays open, it is simply not the default. The work is bought as change credits, and you receive an estimate in credits before any work starts; you accept or decline it. Failures caused by DevPowers are repaired free of charge and consume no credits.

What is a change credit?+

A change credit is a unit of paid work you buy in advance and spend whenever DevPowers does work on your site. You buy a credit pack; packs cost less as a short subscription than bought one-off. Each change consumes credits by its complexity, not by the time it takes. Credits carry an expiry date and unused credits expire after two months. Credits cover new work and repairs of damage you caused yourself. Failures caused by DevPowers are repaired free of charge and consume no credits. Credit pack prices are being set with the first clients and published once they are measured.

What if I break the site myself?+

A change that fails the automated gates cannot reach your live site, and rollback to the previous deployment is always available - most accidents stop before they happen. If you override a stop-and-warn and the site is damaged, DevPowers repairs it and the repair is paid in credits: you receive an estimate first and accept or decline it. Failures caused by DevPowers are repaired free of charge and consume no credits.

What if I just want DevPowers to do it?+

Then we do it. Doing it yourself is the default because it is cheaper and faster for you, not because we stop working with you at handover. Send the change by email or chat, you receive an estimate in credits, and you accept or decline before anything starts. Nothing about the handover closes that door.

Your move, hero.

Tell us what the agent needs to do. We acknowledge your email instantly and answer within one business hour — no call, form or booking calendar.
